Credit Transfer Doctorate & PhD

• The course must be relevant to the main subject of study specified in your supervision agreement.
• The course must have been completed at the doctoral or PhD level.
• The course must have been completed at:
  • a university,
  • a research institute, or
  • an institution affiliated with university association
    • e.g. VHB-ProDok, European Consortium for Political Research "ECPR", ...
  • Courses offered by chambers, companies, (private) foundations, or similar organizations cannot be recognized.

Steps for submitting an application:

1. Check your semester re-registration status
   Your application can only be processed if you are re-registered for the relevant program in the current semester.
2. Fill out the attachment sheet
   Fill out the supplementary sheet provided for your program. You can use the following overview as a guide: Credit transfer of Doctoral/PhD Credits
3. Submit an online application
   Fill out the online form F35 and upload the preliminary supervision confirmation and the completed supplementary sheet.

Steps for submitting an application:

1. Check your re-registration status
   Your application can only be processed if you are re-registered for the current semester.
2. Check the requirements
   Please submit your application only after you have met the requirements:
   • The course must be relevant to the main subject of study specified in your supervision agreement.

3. Prepare Documents
   Make sure you have all required documents available and complete:
   • ​​​​Completed supplementary sheet
   • Preliminary confirmation of supervision
   • Course content/syllabus
   • Official transcript/academic record showing ECTS credits
   • Proof that the course was offered at the doctoral/PhD level (if not evident from the submitted documents)
4. Submit an online application
   Fill out the F35 online form and upload the required documents.

Steps for Submitting an Application:

   • The content of the course must align with your major as specified in your supervision agreement.
   • The course must have been taken at the doctoral or PhD level.
   • The course must have been taken at: 
     • a university,
     • a research institute, or
     • an institution affiliated with university association
       • e.g. VHB-ProDok, European Consortium for Political Research "ECPR", ...
   • Courses offered by professional associations, companies, (private) foundations, etc., cannot be recognized.
3. Prepare Documents
   Make sure you have all required documents available and complete:
   • Completed supplementary form
   • Preliminary confirmation of supervision
   • Course content/syllabus
   • Proof that the course was offered at the doctoral/PhD level (if not evident from the submitted documents)
   • Official transcript/certificate showing ECTS credits or the course workload in hours
4. Proof of ECTS
   Please check that you have earned sufficient ECTS credits for the recognition of your exams. If your transcript does not list ECTS credits or the workload in hours, we require a detailed program (syllabus or course catalog).
   • 1 ECTS credit corresponds to a 25-hour workload.
   • A 3-day summer school or a workshop is equivalent to 1 ECTS.
5. Submit an Online Application
   Fill out the online form F35 and upload the required documents.

   • Another requirement is active participation in the event
     • Mere attendance at a conference is not sufficient for credit transfer.
     • Credit transfer requires the presentation of your own research to an expert audience in the form of a poster or presentation.
     • Moderating an event, presenting or commenting on the work of others (e.g., as a discussant) does not count as active participation.
     • The same poster or presentation may not be used more than once.​​​​​​
3. Proof of ECTS/Workload
   Check to see if you have earned enough ECTS credits for the elective courses to be recognized.
   • 3 ECTS credits are required for each of Elective I and Elective II.
   • 1 ECTS corresponds to 25 hours of workload.
   • A 3-day conference is equivalent to 1 ECTS.
   • An additional 1 ECTS is awarded for the mandatory presentation of your own work.
   • Credits earned at multiple conferences may be combined to reach a total of 3 ECTS credits.
4. Prepare Documents
   Make sure you have all the required documents avaiblable and complete.
   • Completed supplementary sheet
   • Preliminary confirmation of supervision
   • Official confirmation of participation (including your name, dates of attendance, title of the event, and the organizer’s name and signature)
     • Invitations, acceptance letters, or registration confirmations do not count as certificates of participation!
   • Presented paper/poster in PDF
   • Conference program in PDF format or as a publicly accessible link in which you are listed as a presenter.
   • Proof that the course was completed at the doctoral/PhD level (if not evident from the documents)
