This information is for guest lecturers invited and administered by the International Office only. If you're teaching a course for one of our departments and/or have been invited by one of WU's departments, please refer to them for further information and questions.
Getting to Campus WU
Campus WU is located in Vienna’s second district between the Messe Wien exhibition grounds, Prater Park, and the Krieau racetrack. The address is Welthandelsplatz 1, 1020 Vienna, Austria.
You can reach it by:

Subway line U2 (Stations Messe – Prater or Krieau)

WU‘s garage: Reduced short-term parking cards are available for guest lecturers (€ 2,20/hour or €10/day) – please contact us in advance if you need these parking cards!
- Pre-paid parking vouchers are available at tobacconists, some petrol stations, at Wiener Linien ticket offices, and also at the ticket vending machines in all subway stations (€ 1,30/30 minutes; max. 2 hours total)
Bicycle: Bike sharing system with over 100 bike sharing stations, including right next to Campus WU: WienMobil Rad.

International Office
The International Office is located on level 4 of the Library and Learning Center (LC). Check our interactive campus map to find it. We are here to help with all matters related to your teaching activities at WU.
For guest lecturers teaching courses organised and administered by the International Office, the International Teaching Team is the main point of contact at the International Office. They will:
Set up a WU (email-)account and Wi-Fi access
Provide a course participants list
If needed: Provide support to distribute information and materials to students via email or WU’s learn platform CANVAS
Book lecture halls and extra classroom equipment if needed
Procure key cards and a library card if needed
Book office space if needed
Provide print outs and copies if needed (please send them in advance!)

Your WU account
You will receive an account data sheet from the International Office which includes your initial login information. You can use the Controlpanel application to:
Change your account password
Set up a separate WiFi password (You can only access WU‘s Wi-Fi network “eduroam“ after setting a password).
Activate the two-factor-authentication (see instructions down below).
Please complete these three steps as soon as possible after you've received your data sheet (within 7 days), otherwise your account will be deactivated by our IT-Services!
WU‘s learning platform CANVAS is used to provide lecture materials & to communicate with students. Please become familiar with it by consulting the Canvas guide. If needed, we can help you with uploading materials. Once you have received the data sheet and have activated the 2-factor authenticiation, you will also have a WU email address which you can access here. WU students are used to emailing lecturers at their official WU email address, so it is important to check it regularly.
Two factor authentication
To access your WU account, you need to set up a 2-factor-authentication. You can find some useful information in our knowledge base here (including the links) or in the document here. Please note that you need to set up your 2-factor-authentication within 7 days of receiving your accound data sheet (which you will receive via email). Otherwise, your account will be deactivated, so please make sure to do so as soon as possible.
Grant formalities
CEEPUS grant
If you receive a CEEPUS grant for your teaching mobility at WU, the CEEPUS National Office will contact you and set up a meeting during which you will receive your grant.
If you need signatures on any forms, let us know – we will set up a meeting with our CEEPUS coordinator.
Please contact OEAD as soon as you have arrived in Vienna to receive your grant. Their office is located in Ebendorferstraße 7, 1010 Vienna
In addition to the CEEPUS grant, you will also receive a TOP UP paid by the International Office. For this purpose, please complete and upload the following documents:

ERASMUS+ grant
If you are granted Erasmus+ funds, you will either receive the grant amount in your bank account or in cash within the first few days after arriving at WU, depending on the agreement.
On the last day of your mobility at WU, you will receive an automatic email asking you to fill in a survey about your mobility. Kindly double-check your spam folder. Please complete it as soon as possible as it is a requirement for receiving the grant.
In addition to the ERASMUS grant, you will also receive a TOP UP paid by the International Office. For this purpose, please complete and upload the following documents:

The documents differ slightly from each other, so please make sure to complete the correct ones. If you have any questions about your grant, please let us know.
Teaching at WU & responsibilities of lecturers
Courses taught by WU guest lecturers are continuous assessment courses. The following regulations apply:
Students may only attend courses they are officially registered for.
If a student does not attend the first session of a course without a valid excuse, they must be deregistered. Please let us know if this is the case, as we will deregister students for you.
Courses at WU require mandatory attendance, but lecturers may allow students to miss up to 20% of the total class hours. Cases of illness should be dealt with on an individual basis.
If a student is unable to complete an essential performance component due to illness, they should be given the opportunity to compensate.
Evaluation: You will be provided with evaluation instructions on your first day of classes. Towards the end of your teaching period, please distribute the evaluation forms or give students the time to complete it online and follow the instructions provided (~15-20 minutes). You will have access to the results after they have been processed.
Course material
If you would like to provide any material or readings for your students in advance, you can upload them on CANVAS. Instructions on how to upload course materials can be found here. Should you have any remaining questions, we will gladly assist you.
If you need to make copies or printouts, please send the files to us in advance and we will have them ready for your first session.

The Employee confirms that any and all materials presented, copied, distributed or published in any way during the teaching of his/her course is his/her own intellectual property and that this use does not in any way violate the rights of any third party. The Employee shall indemnify and hold harmless the Employer in the event of any claims for damages made against the Employer based on this use.
WU Library
If you have any questions about managing your reading list or ordering books for your course, the library team will be happy to assist you.
To ensure that the necessary literature for your course is available to students on time, you can use read!t to create reading lists. Reading lists are linked to the online course catalog and course syllabi. You can also send us your reading list in advance and we will upload it for you.
If a required book isn't currently in the library's collection, the library staff will try to make it available promptly.
If you would like to use case teaching methods in your class, these two platforms offer cases free of charge: Free cases - The Case Centre, OER Commons. Please note that the library cannot procure any individual cases.
In general, the library can support you in the following ways:
• Personal consultations tailored just for you, either in person or virtually.
• Self-paced learning with online materials. If you’re interested, the library offers workshops regularly.
• In case of any further questions regarding the library and its services, please contact library@wu.ac.at.
Classroom equipment
Most classrooms and student study areas are located in the Teaching Center (TC). Further seminar rooms and group project rooms can be found in the Department Buildings (D1–D5).
All rooms of any given category have the same furnishings and equipment:
Teacher’s desk with counter space, teacher’s PC with connection hub
Projection screens
Smartboard
Lecture-casting and live-streaming equipment
Height-adjustable, magnetic whiteboards
Wireless microphones
Loudspeakers
Please let us know if you need any additional equipment! You can also read up on the equipment provided in specfic types of classrooms here.
In addition to the seminar rooms booked for the course, lecturers may book project rooms in various sizes for break-out sessions. Please get in touch with us regarding the reservation of project rooms.
Grading
At WU, students are graded on a scale from 1 to 5, with 1 being the best grade and 5 being a failing grade. WU uses absolute grading only, please refrain from using relative grading such as grading “on the curve”. We kindly ask you to report the final grades according to this scale:

All students who complete at least one performance component must receive a grade. Students who have not completed any performance component must be deregistered from the course.
Grades must be entered four weeks after the end of the course. Please send the list of grades to the International Teaching Team (intl.teaching@wu.ac.at).
Lecturers must make sure that students receive adequate feedback on their performance and their learning progress. Students have the right to view their corrected exams and should receive an explanation on grading upon request. Exams must be archived for one year; you can leave them at the International Office if this is convenient for you. The exams will be shredded after this period.
WU does not use a standardized grading scale in terms of percentages; thus, it lies within the lecturer’s duties to determine the percentages required for each grade. As a reference, please consider this grading scale.

In case you use a different scheme, please inform us since changes need to be published in the syllabus.
Please make sure that the points of a performance component are equal to the percentage of the respective component as stated in the syllabus (e.g.: written exam = 40% à 40 attainable points on the exam). This is important to fulfill WU’s transparency standards.
