WU Check-In for students
What is WU Check-In?
WU Check-In (checkin.wu.ac.at) is a web application that allows you to document your attendance as well as your exact seat during courses and exams at the WU campus.
What is the purpose of WU Check-In?
Attendance and, in case of on-campus attendance, seat numbers are documented via WU Check-In to ensure rapid contact tracing in the event of an infection of a student or teacher with COVID-19.
For courses with compulsory attendance (PI, VUE, MPV, FS, AG), your course instructors will receive the attendance lists based on your check-in.
How does WU Check-In work?

After you have logged in to WU Check-In with your WU account login data (student account!), you will see the start page:
An overview of all courses/exams of the current day for which you are registered
In the check-in column, a check-in button, which is active starting 30 minutes before the start of the course/examination
A search field in case a course is not listed in your individual overview
![[Translate to English:] Check-in Varianten](/fileadmin/wu/_processed_/d/6/csm_Check-in_Varianten_cdcc9caf5c.png)
30 minutes before the start of a course/exam, the check-in starts. For on-campus units, the seat number must be entered at the same time.
Depending on the course/exam format, the following check-in options are offered on the start page:
On campus: On campus
Online: Online
Hybrid: On campus & online

Choose a seat in the auditorium and log in to WU Check-in. Make sure that you use your student account, otherwise you will not get an overview of your courses.
Please click on the "On campus"-button next to the course/exam on the start page
Enter your seat number, which you will find in the colored dot on the table.
Confirm the check-in ("Confirm check-in and seat")
![[Translate to English:] Präsenz-Check-in Studierende2](/fileadmin/wu/_processed_/5/0/csm_Pr%C3%A4senz-Check-in_Studierende_2_b56f552a2b.png)
Changes of the seat number or changes of on-campus/online check-in status are only possible within 5 minutes after check-in. The buttons for making corrections are displayed on the start page after check-in.
Change seat => allows you to enter a different seat number or selection of the common room (if, for example, the wrong one was selected in the case of breakout bookings)
Cancel check-in => allows you to switch between on-campus/online check-in status or to cancel the check-in altogether (wrong course/exam)
Contact tracing measures will be carried out on the basis of this data in the event that a positive case is reported.

For courses with compulsory attendance (PI, VUE, MPV, FS, AG) the attendance may also be recorded via WU Check-in. If so, you also announce your presence via check-in for online units.
Please click on the "Online"-button next to the course/exam on the start page
Confirm the check-in ("Confirm online check-in")
![[Translate to English:] Korrektur Online-Check-in Studierende](/fileadmin/wu/_processed_/1/3/csm_Korrektur_Online-Check-in_Studierende_4cdf88632b.png)
Deleting a false booking (wrong course/exam) or changes of on-campus/online check-in status are only possible within 5 minutes after check-in. The buttons for making corrections are displayed on the start page after check-in.
Contact tracing measures will be carried out on the basis of on-campus-check-in data in the event that a positive case is reported.
You are automatically checked out at the end of the course unit/exam.
Please pay special attention to the room assignment in case of on campus exams (main exam weeks!), since you can only check in to exactly this room. Please check the WU Campus Map to find out where your exam room is and how to get there.
If you are asked to change seats during exams after check-in (to fill the room, establish proper seating arrangements, or to stop "cheating," etc.), please calmly follow the instructions of the exam proctors. It is NOT necessary to correct your check-in - in most cases this will not be possible in time. The course instructors or the tutors will document this (e.g. by manual check lists) in order to enable a correct contact tracing.

If several rooms are booked for a course:
select the room in which they are participating in the course/exam during the on-campus check-in (drop-down list)
enter your seat number as usual
FAQs
What can I do if I can’t check in because my cell phone battery is low or I don’t have a smartphone?
The application can also be accessed via tablet or laptop.
If you do not have any other possibility to check in during a class, please contact the course instructor. She/He has the possibility to log you in manually in exceptional cases - provided that you are signed up for the course/exam.
What can I do if I can’t check in because my cell phone battery is low or I don’t have a smartphone?
A WU account is required to use the application, with a WUniverse account it is unfortunately not possible to check-in. Please contact your course instructor.
The instructors have to use alternative ways to document your attendance and seating for the required period of time, possibly you can agree to sit on fixed seats.
Please use the check-in as soon as you are enrolled and have access to the application!
What can I do if a course/exam does not appear in my overview?
There may be the following reasons for this:
You are not signed up for the course/exam. You can find on-campus courses via the search field on the start page and check in for contact tracing. Please note that this does not count as a registration and you will not receive a grade without being signed up!
The date has been postponed on short notice and the data has not been transferred yet. Your instructors will use an alternative way to record attendance and seating.
There is no date entered for the course on this day (location to be announced). Your instructors will have to use an alternative way to record attendance and seating.
You are not logged in with your student account. Please use your student account for check-in at courses and exams without exception, otherwise your attendance will not be recorded.
How does check-in work when multiple rooms are used in a course unit/exam?
If multiple rooms are booked in parallel for your course/exam (this does not apply to the main exam week):
select the room in which you are participating in the course/exam during the on-campus check-in (drop-down list)
enter your seat number as usual
However, if breakout rooms are only used for small group work, please always check in to the common auditorium, group work will be documented manually by the course instructors.
What if the system does not work?
The system has been tested in detail and is checked daily. If, contrary to our expectations, there should nevertheless be any technical problems or failures of the application, your instructors will use an alternative way to record attendance and seating.
What happens to my data and who has access to it?
The WU staff members in charge of contact tracing have access to attendance and seating data for a period of 28 days in order to carry out contact tracing measures, if necessary. After that, the data is deleted automatically. Details on data protection can be found in the corresponding data protection statement.
The attendance information from the WU Check-in is available to the lecturers for recording the attendance of courses with compulsory attendance.
How does WU’s in-house contact tracing work & where to report a covid case?
What is contact tracing? Our goal: If someone who has tested positive for COVID-19 also attended an in-person course/exam on campus during the 48 hours before the test was taken, we carry out contact tracing activities to identify any people the infected person may have been in contact with at WU and inform them about the next steps to be taken. This helps us avoid COVID-19 clusters in courses and to ensure a safe studying environment.
If you have received a positive PCR test result, please fill out the appropriate form: | |
COVID-Form Students | COVID-Form external WU Library users |
What is WU Check-In?What we ask you to do: By recording your seat number in a class or an exam in the WU Check-In application, you allow us to identify any people who may have been exposed to a high risk of infection in the classroom. This allows us to carry out quick and effective contact tracing and keep the campus as safe as possible.
